This privacy notice sets out how LCP Solutions trading as Dovetail Partners (Dovetail Partners) will process your personal information when you deal with us, including when you use our website.


WHAT DATA DO WE COLLECT?

We collect your personal data only when you, or your employer, asks us to collect it so that we can provide advice. We collect your name, address, email address, and phone number so that we can identify and communicate with you. If you complete a questionnaire, we collect additional personal data associated with your personal preferences and motivations.


HOW DO WE COLLECT YOUR PERSONAL DATA?

We receive personal data from your employer, or directly from you. When you complete a questionnaire, we collect that personal data directly from you. We do not collect any personal data about you from any other sources.


HOW DO WE PROCESS YOUR PERSONAL DATA?

We process your personal data to identify and communicate with you. We process the data you give us about your personal preferences and motivations to help us provide advice to you and your employer. 

We sometimes compile the data on personal preferences and motivation from all the members of your team so that we can provide a team profile for your employer. We will only do this following explicit instruction from your employer.

We will not process your personal data for direct marketing or other purposes, and will not share your personal data with any other organisation other than your employer, or prospective employer.

Dovetail Partners is legally responsible for the protection of the personal data that you share with us. We are therefore considered to be the legal controller of your personal data during this time. We will therefore only process your data for the lawful purposes of fulfilling our contract with you or your employer, meeting our legal obligations, and the legitimate purpose of refining our assessment models.

HOW DO WE STORE YOUR PERSONAL DATA?

All personal data about you will be stored securely on password protected computers and smartphones. Access to this data will be available only to the two directors of Dovetail Partners and authorised IT support staff. Any personal data will be communicated to you in face to face, or by email where this is not possible. If you wish, any personal data can be emailed in password protected files. This data will not be communicated to any other organisation.

Your data will also be backed up on removable drives and in online cloud storage. Some of the online cloud storage may legitimately be located outside the UK. Wherever it is backed up, access to this data will also be password protected and restricted to authorised users.

Your personal data will only be retained for as long as the law requires. This is currently at least 6 years from the end of the contract with you or your employer.


YOUR RIGHTS

You have the legal right to:

  • Request access to a copy of your personal data – to enable you to check the accuracy of the personal data we hold about you, and whether it is up to date;

  • Request rectification – to enable you to correct any incomplete or inaccurate personal data we hold about you;

  • Request erasure – for us to delete any personal data that we retain, so long as we can still meet our legal obligations;

  • Request restriction of processing – to enable you to establish its accuracy, and establish whether you can object to its processing; and

  • Object to processing – where we do not have a legitimate interest in using your personal data to refine our assessment models.


It is important that the personal information that we hold about you is accurate and up to date so it would be useful if you would let us know if your contact details change. THE DOVETAIL PARTNERS WEBSITE

When you visit this website, small files of information, in the form of cookies, are automatically saved on your computer by your browser. ONLINE PERSONALITY ASSESSMENT APPLICATION

When you are asked to complete the online personality assessment questionnaire, we will email you a password to access a specialist website. When you log in to this specialist website, cookies are used, in a similar way as noted above.

The responses that you provide in the online questionnaire are associated with your email address and, as they relate to you, the responses are considered personal data. The data is therefore stored securely on the specialist website.


MOTIVATION QUESTIONNAIRE

When you are asked to complete the motivation questionnaire, we will send this to you in the form of a spreadsheet, for you to complete on your computer. Again, the responses that you provide are associated with your email address, relate to you, and so are considered personal data. 

If you wish, you may password protect the completed spreadsheet before returning it to us. You will be asked to send the password in a separate email, to protect its security. Your responses to the questionnaire will then be stored in a secure computer.


The responses you provide in the online or spreadsheet questionnaires are not used for any purpose other than generating a high-level graphical summary. We send you these graphs in a PDF document by email. If you wish, this PDF document can be password-protected, and the password is sent to you in a separate email, to protect its security.

We would then discuss your responses to the questionnaire, and any implications for your career, by phone, remote meeting software, or in a face to face meeting. In every case we would ensure that the conversation was private, not recorded, and so was completely confidential.
